Bead Bar is a growing company that specializes in allowing customers to create their own bead jewelry. With six major locations, a Bead Bar on board, and businesses that want to be part of the company makes Bead Bar a successful company. In order to keep up and track business the company asks us to implement a systems development plan that will integrate the company into the technological world. Today I will be outlining the systems development plan that will guarantee the switch over runs easily.
The systems development plan is like a blueprint it ensures that everyone understands what they need to do and that the owner knows exactly what she is paying for. There are seven phases when developing a systems plan they are: (1) planning, (2) systems analysis, (3) systems design, (4) development, (5) testing, (6) implementation, and (7) maintenance.
Planning
Bead Bar has decided to develop an information system to increase efficiency and speed from its employees. To make the decision, the company will perform four types of feasibility analyses; technical, operational, economics, and schedule. The company will use this feasible analyze to determine which of the three solution they think is best for their company. The first solution is staying with the existing system. Of course this does not change in operational or schedule functions though the company will still continue have errors and lose revenues. The second solution is modifying the existing system, but I believe it would not help Bead Bar in the long run. Since paper-based forms are still in play, the company will still have errors due to misplace orders which lead to lost customers. The third solution which I believe we will be using is a new information system, a total replacement of the new system. This implementation will take some scheduling but we can setup each new system at each location one at a time. By setting at one location at a time it would not affect operations only the one that is being replace. With the new system meeting the company?s requirement it also allows for future expansion.
Systems Analysis
In this phase we will gather information that will give us a better understanding of the company?s problem and how the system will solve their issues. We will start by interviewing employees from the Bead Bar company and observe the company while in action. To better understand on how the company works we will show a data flow diagram (DFDs) that explains and show how the company operates.

As you can see if Bead Bar continues using the paper-base system orders can be misplace and shipments can be deliver to the wrong location. Furthermore Bead Bar wants to go into the E-business therefore we need to implement a system that will allow the company to run an e-business and run their physical stores.
System Design
Once we determine the issues and the requirements needed to solve it, our next step is the system design. The goal here is to go into detail on how we will develop the new system; this will determine what hardware and software are required.
We know that a paper-based system is going to be completely removed and now we must install a point of sales (pos) terminal. This will track all orders and deliver them to the right department and safely keeping them stored electronically. To make delivery faster, each driver will be equipped with a pda that will allow them to see what items needs to be deliver and gives direction to its location. For the employees who are mobile, they will be given laptops that will allow them to communicate with the company.
To have all these electronic devices to communicate with each other, we need some type of hardware and software that allows them to communicate with each other. The best database management system software I recommend for the Bead Bar is Oracle?s 9i. Oracle?s 9i is an enterprise dbms for major companies, since Bead Bar is increasing their franchises this is the best software to go with. With Oracle?s 9i it allows the company to store large amounts of data with a secure security, preventing anybody outside the company from intruding. One of Oracle?s 9i features is it allows customers to order items and allows employees to manage and view inventory, keep track of sales, and change prices. A key feature of a dbms is its relational model; it allows you to organize all your data into categories. This will make it easier to look up inventory to financial records. With relational model you can manage your employees information, were if you want to look up for employees with a dental plan only this allows you to do that. The key feature to this is that categories are related to each other, for example, dental plan will be related to social security table. Since the Bead Bar wants to compile financial information from different parts of the company and gather information on customers we will establish a data warehouse. With a data warehouse every single data is stored and it cannot be changed this allows employees to look up previous records, financial statements, last year?s profit or a transaction a customer made 2 years ago without being altered or changed. Finally the last feature a dbms offer is data mining, this gathers data?s and process analytical and statistical methods to find patterns. This allows the company to find out what their customers like purchasing or make future projections. Of course managing a dbms will be hard to train, so I recommend you to hire a database administrative for each district region. They can train employees to use the basic functions of the system while they can manage the more advance functions of the system.
To ensure security we will issue a database administrator (dba) who will issue user names and passwords to employees, he will also train employees, maintain the system and make sure data is back up frequently. For the website we will hire a third party to design the company, likely to be a web designer. For the hardware, each studio will have two desktop computers along with its pos terminal for sales, a printer, flat screen monitors, bar code scanners, and a router.
Systems development
Since we know the design of the new system we can start building the new system. The first step is hiring a dba, which he or she can train the employees on the new system while we implement it into the studios. This will save the company time because employees will not need the training after the system is up. The next step is setting up the devices together so each one can communicate with each other. We will have the two desktops place in the studios office rooms while the terminal will place in front of the studio. The router and printer will be placed in one of the office rooms. The two desktop, pos terminal and printer will be directly connected to the router while the PDA?s will be connected wirelessly. To ensure the information system run efficiently we will set up the network as a star topology. This allows the network to continue to run if a device fails in the network. To gain access to the company website we will need a telecommunication service provider that will grants us internet access. I suggest getting a cable connection since the wires are already installed in the building and it provides a high speed connection that is well enough for the company. As for the two desktops at each location which will be acting as a client/server will configured to the company?s specification and the appropriate software will be installed.
Testing
This stage is where the new system is being tested before it is actually implemented in the company and running. The test will see if all components are working properly and the software is running correctly. Then it will run a simulated environment test to ensure the system can run in real-time. Testing can last up to a couple of weeks depending if any changes need to be taken but it is important because it make sure the system is running properly before implementation.
Implementation
Once the system is ready to go, it is time for implementation into the working environment. This is where the team installs the hardware and software in each location. We can do a direct cutover for each location one at a time, this way we will not the business.
Maintenance
Maintenance is the final phase but it is also a long term process. Maintenance is usually run by the system administrator, who is appointed by the company ceo, this is important because the ceo must trust someone who has access to secure information. This process consists of daily checking on the system to see it is running correctly. Next the administrator will run back up data software on all systems and to recover any data that was lost. He or she must also do any additional upgrades that the system needs and to replace any damage hardware. Last the administrator must keep supporting the employees so they are well informed of any changes.
If all seven phases are executed right then we guarantee that the Bead Bar Company will be successful in implementing their new system. With this new system the company no longer needs the paper-based system. This allows the company to run more effectively and to expand into the e-business.
